What is included in a Stagedge scope of work?

A scope of work lists the specific services and deliverables, the fees, and the payment terms for your event. It covers the production team, equipment, and services we provide directly. Charges owed to the venue or to third parties are identified separately so you can see the full picture.

Do the ranges include venue and union labor costs?

No. Fees charged by a venue, an event management company, or a government entity are billed to the client directly, as are third-party labor and equipment charges such as union labor, riggers, lifts, and electricity. Those costs vary widely by city and venue, which is why they sit outside the production ranges on this page.

How is production labor calculated?

Labor is quoted on day rates, where a standard day covers a set number of hours. Work beyond a standard day, overnight work, and short turnarounds between shifts are billed at higher rates. Your scope of work states the schedule we have assumed and the rates that apply to it, so there are no surprises later.

What are the payment terms?

Unless a scope of work states otherwise, half of the total is due when you sign the scope of work and the balance is due thirty days after receipt of a correct invoice. New clients complete a short financial onboarding package first, and terms are confirmed at that point.

How far in advance should we book?

Earlier is always better, and our honest answer is that there is no such thing as too early. Eight to twelve weeks is a practical minimum for a live, virtual, or hybrid event to be produced well. Conferences and multi-room programs are usually in planning for months, and flagship enterprise events a year or more ahead. The reason is resourcing rather than paperwork: in busier parts of the year the strongest crews and the specific technology a program needs get committed well in advance, and booking early is how we lock the right people and equipment to your event instead of working around what is left. We can move faster when we have to, and we will tell you honestly what gets harder when we do.

What happens if we need to cancel or reschedule?

You can cancel without penalty any time before the first planning meeting. After that, cancellation fees scale with how close you are to the event, covering a share of contracted equipment and labor plus any third-party fees we have already committed to on your behalf. If an event is rescheduled rather than cancelled, we negotiate those fees in good faith. The exact terms are in your scope of work.

What if we need to add something on site during the event?

It happens constantly, and we plan for it. We make reasonable efforts to accommodate on-site requests and give you an estimate before proceeding. Additional charges apply to those requests whether or not there was time to prepare a formal change order.

Do virtual and hybrid events cost less than live events?

Not necessarily. Producing for a remote audience in addition to a live one means a second show to direct, additional encoding and streaming infrastructure, and content built for two very different viewing experiences. Hybrid frequently costs more than either format alone, and it reaches a much larger audience.

How do we get an accurate number for our event?

Bring the event date, the audience size, the venue if it is booked, the number of rooms, and whether the event is being streamed or recorded. That is enough for a real range in one conversation. Scenic scope and content requirements refine it from there.
